Adding AiVA AI agents to your call and message flows

Learn how to add AiVA AI voice and messaging agents to your call and message flows, including receptionist, after-hours, and IVR setups.

DialLink's AI voice and messaging agents can be added at different points within your call and message flows, allowing you to automate interactions and handle requests without missing opportunities.

Note: You cannot add both an AI voice agent and an AI messaging agent to the same phone number.

Set up an AI voice agent as a receptionist

To make AiVA the first point of contact for incoming calls, assign an AI agent to your phone number.

To assign a phone number:

  1. Open your AI voice agent

  2. Scroll to the Phone numbers section within the AI agent

  3. Click “+ Add phone number”

  4. Select a number from the list

Set up an AI messaging agent to answer SMS and WhatsApp messages from a dedicated number

To allow an AI messaging agent to answer SMS and WhatsApp for Business messages from a dedicated phone number:

  1. Open your AI messaging agent

  2. Scroll to the Phone numbers section within the AI agent

  3. Click “+ Add phone number”

  4. Select a number from the list

Set up AI agent for after-hours support and message taking

Instead of routing calls to voicemail outside business hours, you can direct them to an AI voice agent for basic support and message capture. You can also assign an AI messaging agent if you receive more text messages after hours.

Note: You cannot add both an AI voice agent and an AI messaging agent to the same auto-receptionist at the same time.

First, make sure you have an auto-receptionist configured to route calls based on business hours. See How to set up an auto-receptionist.

Then:

  1. Open the Auto-receptionist settings

  2. Navigate to the During closed hours section

  3. Select AI agent (messaging or voice) as the destination

  4. Choose the AI agent you want to use

Handle missed calls or messages in ring groups with AI agents

AI agents can handle missed calls or messages for ring groups, ensuring no caller is left without a response.

Note: You cannot add both an AI voice agent and an AI messaging agent to the same ring group at the same time.

To configure this:

  1. Open the Ring group settings

  2. Navigate to the Voicemail section

  3. Select AI agent under Missed call handling

  4. Choose the AI agent

Handle missed calls or messages in call queues with AI agents

You can also use AiVA to manage missed calls or messages in call queues.

Note: You cannot add both an AI voice agent and an AI messaging agent to the same call queue at the same time.

To configure this:

  1. Open the Call queue settings

  2. Navigate to the Missed call handling section

  3. Select AI agent as the handling option

  4. Choose the AI agent

Add AI voice agent as an option in your IVR phone menu

AiVA can be added as a routing option within your IVR (phone menu).

First, ensure you have an auto-receptionist configured to route calls to an IVR menu.

Then:

  1. Open the Auto-receptionist settings

  2. Navigate to the During open hours or During closed hours section (depending on your setup)

  3. Select AI agent as the destination for a menu option

  4. Choose the AI agent
