Set up your voicemail greeting

Learn how to set up a voicemail greeting for your phone number.

How voicemail greetings are assigned

Important: You cannot assign a voicemail greeting directly to a phone number.

Voicemail greetings are configured within the component assigned to the phone number, such as:

  • a user

  • an auto-receptionist

  • a ring group

  • a call queue

The greeting content itself is defined by the selected audio file.

Option 1: Assign a voicemail greeting via a user

You can assign a voicemail greeting through a user. Make sure the phone number is assigned to that user. To learn how to assign a number, see Assign and reassign local and toll-free phone numbers (US & CA).

Then:

  1. Go to Settings β†’ Users

  2. Select the user

  3. Navigate to the Voicemail section

  4. Under Missed call handling, select Callers record a message

  5. Choose how to set the greeting:

  • Select an existing file from the Audio library

  • Upload a file

  • Record a new message

  • Generate a greeting using text-to-speech

Best for:

  • Personal voicemail greetings (e.g., mentioning a specific team member)

  • Company-level greetings without using call flows

Option 2: Add a voicemail greeting via call flows

If your phone number is connected to a call flow (auto-receptionist, ring group, or call queue), configure the voicemail greeting within that flow.

Ring group

  1. Go to Settings

  2. Open Ring groups

  3. Select the ring group

  4. Scroll to the Voicemail section

  5. Under Missed call handling, select Callers record a message

  6. Choose or create a voicemail greeting:

  • Choosing existing from a library

  • Uploading a file

  • Recording a voicemail audio

  • Create a greeting from text

Auto-receptionist

For an auto-receptionist, you can change the voicemail greeting when voicemail is selected as the destination for either open or closed hours.

  1. Go to Settings β†’ Auto-receptionist

  2. Open your auto-receptionist

  3. In During open hours or During closed hours, set Voicemail as the destination

  4. Choose or create a voicemail greeting:

  • Choosing existing from a library

  • Uploading a file

  • Recording a voicemail audio

  • Create a greeting from text

Call queue

For a call queue, you can change the voicemail greeting when voicemail is selected as the destination for either open or closed hours.

  1. Go to Settings β†’ Auto-receptionist

  2. Open your auto-receptionist

  3. In During open hours or During closed hours, set Voicemail as the destination

  4. Choose or create a voicemail greeting:

  • Choosing existing from a library

  • Uploading a file

  • Recording a voicemail audio

  • Create a greeting from text
