What is a voicemail?

Voicemail is a feature that allows callers to leave a message when their call is not answered.

Each left message includes:

  • An audio recording of the caller’s message

  • An automatically generated transcription for quick review

This makes it easier to understand and follow up on missed calls without needing to listen to every message.

How does voicemail work

When a call is not answered, the following happens:

  1. The caller hears your custom voicemail greeting

  2. The caller records their message

  3. The system transcribes the audio

  4. The voicemail (audio + transcription) is saved

  5. You receive an email notification

What is a voicemail greeting?

A voicemail greeting is the message callers hear when their call is not answered. It typically explains why the call can’t be answered, guides the caller on how to leave a message, and lets them know when they can expect a response.

Voicemail-to-email functionality

DialLink can send notifications about new voicemails directly to your email, including the audio recording and the transcription.

By default, email notifications are sent to the account admin. If a phone number is assigned to a user, notifications are sent to the assigned user’s email address.

For phone number with enabled call flows such as auto-receptionists, ring groups, or call queues, notifications are sent to the account admin.

Where to find voicemails

All voicemails are stored in the Voicemails tab, where you can:

  • View the full history of messages

  • Play audio recordings

  • Read transcriptions

To access a voicemail:

  • Open the Voicemails tab

  • Select a message

  • View the recording and transcription on the right panel

Find new voicemails quickly

New voicemail messages are also highlighted in the To Do tab:

  • Go to the To Do tab

  • Find the New voicemail section

  • Click to open the list of recent messages

What voicemail settings you can configure in DialLink

In DialLink, you can control when voicemail is used as a fallback for missed calls in call flows such as ring groups, auto-receptionists, and call queues.

The ring duration before voicemail is not configurable. It is automatically set to 20 seconds.
