DialLink onboarding guide for trial users

Get an overview of the key DialLink features to try during your free trial.

To help you get the most out of your 7-day free trial, we’ve prepared a guide to walk you through the key features and setup steps.

Trial limitations

Not all DialLink features are available during the trial period, and some may have limitations.

Device availability

You can sign up for the free trial using the web app only. After creating your account, you can access DialLink on mobile and desktop apps as well.

We recommend trying DialLink across all available apps to get the full experience. You can find all app downloads on this page.

Log in to your DialLink account

To log in to your DialLink, go to diallink.com and click Sign in. Use the credentials you created during registration.

Start with the basics

Find your phone number

Go to Settings → Phone System Settings → Phone Numbers. Locate the phone number assigned to you.

Set a phone number as the main company line

Go to Settings → General → Company Main Line → Select your phone number.

Make your first call

With DialLink’s business phone system, you can make calls from any device.

To make your first call, use the dialer:

  1. Click the Dialer icon in the bottom-right corner

2. Select Make a Call on the web and desktop versions.

Desktop:

3. Enter the phone number

4. Click the Call button to start the call

Receive a call

When an incoming call arrives, a notification appears in the top-left corner of your screen. You can choose one of the following options:

  • Accept to answer the call

  • Reject to decline the call (if voicemail is enabled, the caller can leave a message)

  • Ignore to dismiss the notification without declining the call

Record a call

You can record inbound and outbound calls by manually starting the recording while you are on a call.

To start recording a call manually:

  1. Start or answer a call.

  2. Open the Call panel.

  3. Click Start recording. The recording will start immediately.

Access call history and details

DialLink stores your full call history in the Calls tab. You can open any call record to view detailed information.

Each call record includes:

  • Date and time of the call

  • AI-generated call summary

  • AI-generated action items

  • AI-generated sentiment analysis

  • AI-generated call transcription

  • Call recording

  • Full timeline of the call journey

Access voicemails with details

DialLink makes it easy to manage voicemails by organizing them in a separate Voicemail tab. You can open any voicemail record to view detailed information.

Each voicemail record includes:

  • AI-generated voicemail summary

  • AI-generated action items

  • AI-generated sentiment analysis

  • AI-generated call transcription

  • Voicemail recording

Add your first contact

Keep your contacts organized by adding them to your contact book.

  1. Open the Contacts tab

  2. Click Create Contact

3. Fill in the required fields:

  • First name

  • Last name

  • Company name

  • Phone number

  • Email address

  • Physical address

4. (Optional) Upload a profile photo

5. Click Save

Once added, you can quickly call the contact by clicking the Call button in the contact record.

Add a colleague or team member

You can invite a colleague or team member to your account and assign them a phone number. This allows you to share calls and messages associated with that number. You can also assign a separate phone number to each user.

To add a user, go to Settings -> Users and click “+” to invite a person.

Note: Inviting users will prompt them to create their own trial account and may increase your subscription cost.

Access the conversations tab

While sending text messages is not available during the free trial, you can still receive a text message from US, Canada, and international phone numbers. You can access these messages in the Conversations tab.

Setting up call flows

Set up forwarding of calls to a different number

You can redirect incoming calls from your DialLink phone number to another number.

To enable call forwarding:

  1. Go to Phone Numbers

2. Select a number from the list.

3. Turn on Call Forwarding.

4. Enter the forwarding number where incoming calls should be routed.

Set up an auto-receptionist

Create an auto-receptionist to automatically route incoming calls based on your business hours and call handling rules.

Set up holiday schedules

First, make sure your business hours are configured in the auto-receptionist. Then go to Settings → Holiday Schedules to create and manage your holiday schedule.

On holidays, incoming calls follow the after-hours call flow defined in your business hours setup.

Set up a ring group

Go to Settings → Ring groups to enable shared lines for your team, allowing multiple users to handle calls and messages together.

Set up a call queue

One of the advanced features you can explore during the free trial is the call queue. A call queue acts as a virtual waiting line, placing callers on hold when all operators are busy and routing the call to the next available operator.

AI features

Organize calls with call tagging

Create tags that AI can use to automatically categorize calls. This makes it easier to find specific types of calls in your call history.

To create and manage your own tags, go to Settings → General and scroll to Call Tags.

Set up an AI voice agent

Create an AI voice agent and assign it to your phone number to see how it handles incoming calls. You can customize it by selecting different voices and defining specific roles.

Note: During the trial period, you have a total of 20 minutes available for AI voice agent calls.

Upgrade your trial to a paid plan

You can upgrade to a full paid version at any time during the free trial. All settings configured during the trial will remain in your workspace.

Note: Payment will be charged automatically to the card you added during sign-up. To review your payment methods or account balance, go to Settings → Billing.

Cancel your trial version

At the end of the 7-day trial period, your account will automatically convert to a paid plan, and you will be charged based on the subscription selected during sign-up.

If you do not want to continue, you need to cancel your subscription before the trial ends.
